Occupancy is only part of the picture.

A nursery can report a healthy occupancy percentage and still have weak room use, high labour cost or poor cash conversion.

Occupancy matters, but it is easy to ask too much of one percentage. Before comparing one nursery with another, be clear about how the figure is calculated. Registered capacity, staffed capacity and the places actually available by room and session are not always the same denominator.

Look at rooms, not only the whole building

A full baby room and spare preschool capacity can produce a respectable overall figure while creating very different staffing and income economics. Room-level visibility shows where demand is strong and where space is being paid for but not used.

Connect occupancy to revenue quality

Two occupied places can generate different income depending on attendance pattern, funding, fees and additional charges. That does not make one place better than another, but it means occupancy alone cannot explain whether the commercial model is working.

Then look at staffing

Staff deployment should respond to the children actually attending while maintaining the required staffing and safeguarding arrangements. If the roster repeatedly carries more hours than the occupancy pattern needs, revenue growth can disappear into labour cost.

Profit is not the same as cash

Late payment, funding timing, deposits, payroll dates and annual costs can all create cash pressure even when the management accounts show a profit. Owners need both views.

A better weekly question is not simply “What is occupancy?” It is “What happened to occupancy, income, staffing and cash this week, and what needs a decision?”

A useful operating view

  • Occupancy by room and session.
  • Income by place and the fee/funding mix.
  • Staff hours and labour cost against actual attendance.
  • Debtors and expected cash receipts.
  • Forward bookings, leavers and available capacity.
  • Actions, owners and dates for the exceptions that matter.
